This policy explains how FocusPod handles personal information from Canadian website visits, configurations, enquiries, orders and support requests.
Who is responsible
FocusPod is the trading name of Focus Pods Australia Pty Ltd, registered in Australia under ACN 690 612 590 and ABN 73 690 612 590. The company address for correspondence and legal notices is 56 Export Drive, Molendinar QLD 4214, Australia. For Canadian orders and support, contact sales@focuspodcanada.com or +1 650 383 4050. Please identify your Canadian delivery address and order reference. Information collected and purposes
We receive the contact and business details you provide, your configuration, delivery and site information, correspondence, order and support records, and information needed to process payment through our payment providers. Website systems may receive device, browser, IP address, page-use and cookie data. We use information to answer your request, prepare and fulfil orders, provide support, maintain records, protect our services and meet legal obligations. Please avoid including unrelated sensitive information in floor plans or messages. We do not ask for full card details by email.
Consent and marketing choices
We seek meaningful consent where required and explain the purposes for which information is requested. Optional marketing choices are separate from information necessary to respond to an enquiry or fulfil an order. You can unsubscribe from promotional emails or contact us to withdraw consent, subject to legal or contractual limits we explain. Necessary service and order messages may continue. Browser settings and any cookie preference controls allow you to manage optional tracking; disabling essential storage can affect saved designs and checkout.
Service providers and international processing
We use Shopify for the website, checkout and order records, and payment providers to process payments. Canadian forms and estimate services use Cloudflare for processing, security and temporary storage, and Zoho Mail for email delivery. Our shared business services also include Microsoft email, Klaviyo email tools, Cal.com bookings, Zoom phone and voicemail, and analytics or advertising providers where used for your request or enabled subject to applicable choices. Manufacturing, freight and installation partners receive the information needed for their part of your project. We may disclose information to professional advisers or where the law requires. We do not sell personal information. We are based in Australia, and providers may process information in Australia, the United States and other countries. Foreign laws may permit access by local authorities. We remain accountable for information entrusted to service providers and use appropriate safeguards.
Retention and protection
Our existing retention schedule keeps order, invoice and tax records for seven years after the order, or longer if required by law; unsuccessful enquiries and quotes for up to three years after last contact; and voicemail recordings and transcripts for up to twelve months. Marketing records are retained until unsubscribe, with limited suppression records kept to respect that choice. Claims or legal obligations can require longer retention. We restrict access according to business need and use reasonable organisational and technical safeguards. No website or transmission method is entirely risk-free.
Access, correction and concerns
Contact our privacy enquiry contact to request access or correction, ask about how information is used, withdraw consent or raise a concern. We may need proportionate identity verification. We respond within the period required by the law applicable to your request; where PIPEDA applies, the usual access-response period is 30 days, with permitted extensions explained. Deletion or other requests are assessed against applicable rights and record-keeping obligations. You may complain to the Office of the Privacy Commissioner of Canada or the relevant provincial authority, including Québec’s Commission d’accès à l’information.
